Presbyterian Village, a continuing care retirement community in Ackley, IA, began looking for a new software system when their financial system was being sold to another company. Their current clinical system at the time, Dextrosity (created by Creative Solutions of Sheffield, Iowa) didn’t have a viable option for Accounts Receivable/Billing, so the search for a fully integrated system began. In early 2011, Presbyterian Village selected MatrixCare, a web-based, clinical EHR and financial software system designed to help eldercare providers achieve the best quality of care through innovative technology and passionate expertise.

“We visited other facilities in the area that were using MatrixCare and everyone was happy with the system,” said Kim Lindaman, Director of Nursing. “In addition to that, the MatrixCare system encompasses the entire interdisciplinary team, allowing for complete integration which eliminated duplication of work across departments.” With MatrixCare EHR, clinical and financial users share one point of data entry for all census and resident demographic information, resulting in consistent and accurate records.

“One of the clinical features we found to be very beneficial is the ability to create our own forms which allowed for common ground and familiarity with our staff after implementing MatrixCare,” states Lindaman. There are over 100 forms already available in the MatrixCare system and each one can be easily customizable to suit the needs of the facility, including follow-up reminders when forms are not completed in a timely manner. This electronic documentation of resident care can then be shared across modules such as Orders and Observations and Events.

“One of the most valuable features of MatrixCare for our nursing staff is the ability to send and receive faxes right from our computer, including medical records and orders,” states Lindaman. “This cuts down the administrative time and allows our nurses more time to provide care to our residents.” The MatrixCare Orders module efficiently handles any type of order, including prescription, nursing, standing, and lab/radiology orders. “Orders are easy to enter and can be easily individualized,” adds Lindaman. Physicians receive a message letting them know an order is ready for approval and sign-off. Physician orders can then be electronically faxed to the providers for prescriptions, labs and radiology reports to expedite the order process.

“We’ve also seen positive results on the financial side with an integrated system as we no longer have to do duplicate work in billing” said Lindaman. “In addition to seamless flow of information, our billing staff has more robust reporting options than we had before. Report parameters are easily adjustable to fit our needs.” Reports can be exported to Excel enabling easy manipulation of data. The MatrixCare AR component includes many helpful reports such as AR Reconciliation, AR Aging, Transaction Audit Report, Resident Bed Days Analysis, Medicare Part A Log and Claims Triple Check Report.

“With any transition, there are some bumps in the road, but once it was implemented, we were definitely happy with our decision to move to MatrixCare. We had a great experience from the beginning with the MatrixCare training staff being very knowledgeable and helpful. We’ve seen greater efficiencies in all disciplines and it is very user-friendly so even novice computer users find it easy to use,” said Lindaman.
